Getting Started as a Studio

A studio account lets you manage your dancers, their partnerships, and their competition entries all in one place — without each dancer needing to set anything up themselves. This guide walks through what you can do with a studio account and how to do it.

Creating your studio account

Sign up with your email, your studio's name, and a password. Your account is ready to use right away — there's no waiting period or approval step. You'll receive a welcome email once you're signed up.

Managing your dancers

From the Dancers page, you can add anyone you coach to your roster by entering their first name, last name, and email address. You don't need their permission or a password from them — this creates a profile you manage on their behalf. Only your studio can see or edit the dancers you've added.

A couple of things to know:

• Double-check the email address before saving — it can't be changed afterwards. Names can be corrected at any time from the dancer's profile.
• New dancers are set up with your studio's country, state, school, and studio information by default, so you don't have to re-enter it — but their professional/teacher status and membership numbers start blank and need to be added separately.

Letting a dancer sign in

When you add a dancer, you can tick Email the dancer to let them know their account was created. The email contains a link for them to set a password, which lets them sign in to the account you made.

You don't have to send it. A dancer who never signs in is managed entirely by you, exactly as before.

If they do sign in, the account stays on your roster — signing in doesn't take them off it. What it gives them is the ability to use the platform on their own behalf: forming partnerships with dancers inside or outside your studio, entering competitions and events themselves, and taking on official roles such as adjudicator or scrutineer at other competitions.

Two things stay with you regardless:

• Their affiliation — country, state, school, studio, professional status, membership numbers — remains yours to manage.
• Entering them in events on your roster continues as normal.

Keeping dancer profiles up to date

Select any dancer on your roster to view and update their profile — country, state, school, studio, professional/teacher status, and membership numbers. You can make changes any time.

Setting up partnerships

On the Partnerships page, pair up two dancers from your roster as lead and follow. Because both dancers are already on your roster, the partnership is created immediately — there's no invitation or acceptance step needed (this is different from how two independent athletes would pair up on their own, which does require both people to agree).

Partnerships with dancers outside your studio

A dancer who has signed in can form a partnership with someone you don't manage. You can enter a couple in events only when both dancers are on your roster — managing one of them isn't consent from the other — so a mixed partnership is theirs to enter, not yours.

Partnerships between two of your own dancers work exactly as they always have.

Entering competitions

The Registration page is where you sign your dancers up for competitions. Choose the dancer (for solo events) or partnership (for partnered events), pick the competition and events, and submit the entry. Your Dashboard gives you a running view of upcoming competitions where your dancers are entered.

You can enter dancers while a competition's registration is open. Once the organizer closes registration, entries are theirs to make on your behalf — so if you need a late change, contact the organizer.

Creating team entries

For events that accept teams, build a team right from the registration page: give it a name and add members from your roster. You can create more than one team for the same event if needed.

As the person who created the team, you're the only one who can rename it, change its members, or remove the entry later. If you remove a dancer from a team, their spot in that competition is automatically cleared unless they're still entered some other way (solo, with a partner, or on another team).
