Dynamic Events

Overview

A Dynamic Event is a template, not an event itself. Instead of pre-creating every individual event a competition might need, an organizer defines the boundaries of a possible event — its session, entry type, federation, placement system, and the allowed divisions, ages, proficiencies, styles, and dances. Actual events are then created automatically, only when an athlete registers for a combination that falls within those boundaries.

This page explains what Dynamic Events are for, how organizers configure them, and how they behave during athlete registration.

Why Use Dynamic Events

Competitions with many possible division, age, proficiency, and dance combinations — pro-am events in particular — can have far more theoretical events than athletes who actually enter them. Creating every combination in advance clutters the event list and wastes setup time.

Dynamic Events solve this by letting the organizer set the rules once. Only the specific combinations athletes actually enter become real, schedulable events. Nothing is created for combinations nobody registers for.

Key Concepts

Dynamic Event vs. Event

A Dynamic Event is configuration — it is never scored and athletes never dance in it directly. An Event is the real, schedulable competition heat that athletes are scored in. Every Event created from a Dynamic Event keeps a reference back to the Dynamic Event it came from, so organizers can always trace which events originated from which template.

Single-Dance vs. Multi-Dance

A Dynamic Event can be configured one of two ways:

  • Single Dance — each entry is for one specific dance (for example, a pro-am Cha Cha entry). This is common for pro-am and single-dance specialty events.
  • Multi-Dance — each entry covers a full style such as Standard or Latin, spanning all the dances within that style.

Creating a Dynamic Event (Organizer)

Dynamic Events are managed from the Dynamic Events page under Competition Organizer tools. From there, organizers can create, edit, and delete Dynamic Events for a competition.

Steps

  1. Open the competition's Dynamic Events page and select Create.
  2. Enter a Name for internal reference.
  3. Choose the Session the resulting events should be scheduled into.
  4. Choose the Entry Type (Solo, Partnered, or Team) and Final Placement System (Skating or Point).
  5. Toggle Single Dance on or off, depending on whether this template should generate one event per dance or one event per style.
  6. Select a Federation. This determines which divisions are available.
  7. Select the Allowed Divisions, Allowed Ages, and Allowed Proficiencies. Age and proficiency options are automatically filtered to match the selected divisions.
  8. Select the Allowed Styles, then the Allowed Dances within those styles.
  9. Save. The Dynamic Event is now available to athletes registering for the competition.

Note: Age, proficiency, and dance options only populate after a division and style are selected — the form narrows each list based on prior selections.

Allowed Dances Waltz, Tango, Cha Cha Individual dances athletes may choose (filtered by chosen style).

How Athletes Register

On the entry form, athletes see Dynamic Events grouped as single-dance or multi-dance options. When registering, they choose a Dynamic Event and then a division, age, proficiency, style, and dance (or dances) from the choices the organizer allowed — the form only offers combinations permitted by that Dynamic Event.

Single-dance entries let an athlete or partnership submit one dance at a time and see their existing entries grouped by partnership. Multi-dance entries submit a full style selection in one form.

How Events Are Generated

When a registration is submitted, the system checks whether an Event already exists that exactly matches the submitted competition, session, entry type, placement system, federation, division, age, proficiency, style, and dance.

  • If a matching Event already exists, the athlete's entry is attached to it.
  • If no matching Event exists, a new one is created automatically — named from the selected division, age, proficiency, and dance — and linked back to the Dynamic Event it came from.

This means the competition's event list grows only as real entries come in, while still enforcing exactly the rules the organizer configured.

Editing and Deleting

Organizers can edit a Dynamic Event's configuration or delete it from the Dynamic Events page.

Note: Deleting a Dynamic Event also deletes every Event that was generated from it, including any entries in those events. Delete with caution once a competition has entries — editing the configuration instead of deleting is safer if events have already been generated.
